4. Data Storage and Retention
Personal and project data are securely stored on Google Drive and encrypted external hard drives. Access is restricted to authorised personnel only. Password protection and device encryption are used to safeguard stored data. Inspection data and project files are retained for a minimum of three years, after which they may be deleted or anonymised unless required for ongoing legal or contractual reasons.
5. Operational Systems, Flight Management & Data Hosting
5.1 Flight Operations, Site Authorisations & Asset Management
To maintain strict compliance with Civil Aviation Authority (CAA) regulations and satisfy client site safety requirements, all operational planning, pre-flight assessments and equipment maintenance are managed through our approved cloud-based flight planning and risk management platform.
All remote pilots and survey personnel must adhere to the following digital management workflows:
Pre-Flight Planning & Airspace Intelligence: Prior to site deployment, pilots must execute automated airspace and ground hazard checks—including live NOTAMs, Flight Restriction Zones (FRZs), controlled airspace and local proximity hazards—using the centralized platform.
Risk Assessments (RAMS) & Site Documentation: Site-specific Risk Assessments and Method Statements (RAMS), emergency response numbers and pre/post-flight survey logs must be digitally authored, logged and approved before commencing operations.
Hardware & Maintenance Logging: All flight hours, battery usage, drone assets and survey equipment maintenance histories are recorded within the centralized database to ensure ongoing airworthiness and satisfy PUWER requirements.
Pilot Currency & Competency Tracking: Remote pilot certifications (GVC, A2 CofC), CAA Flyer IDs, flight logs and operational currency are monitored continuously through the platform with automated renewal tracking.
5.2 3D Data Hosting, Asset Visualisation & Client Access
For the processing, visual inspection, and client delivery of LiDAR point clouds, 3D textured mesh models, and high-resolution spatial survey assets the company utilizes a secure, web-based 3D model collaboration and cloud streaming platform.
Data handling and client sharing across the platform are governed by the following controls:
Cloud Streaming Security: Complex 3D digital twin data and point clouds are rendered securely on protected cloud servers. Client access is provided strictly via authenticated web browser links, enabling real-time inspection without transmitting or exposing raw file structures.
Access Control & User Permissions: Access to project models, annotations, and spatial deliverables is strictly controlled using role-based permission settings and encrypted user credentials.
Project Isolation & Compliance: All client survey data, 3D maps and visual assets are logically segregated by client project and managed in full alignment with the company’s Data Protection Policy and UK GDPR standards.
6. Cookies and Website Analytics
Our website, hosted on Squarespace, uses analytical cookies to gather anonymous data on visitor behaviour and website performance. Cookies do not identify individuals and can be disabled through browser settings. The website contact form collects name, email address, phone number, and message content for communication purposes only.
7. Data Security
We employ multiple layers of security to protect all personal data, including two-factor authentication (2FA), password-protected accounts, antivirus protection, device encryption and restricted data access. We review our data security measures regularly to ensure continued compliance and protection against unauthorised access.
8. Individual Rights
Individuals have the right to request access to their personal data, request corrections or deletion, restrict or object to processing, and request data portability. All requests will be reviewed and responded to within 30 days in accordance with GDPR requirements.
